VIP and Hosted Visitors

Please read carefully the following Terms and Conditions for the VIP & Hosted Visitors programme!

 
DESCRIPTION
 
1. ExporamaShow is the special event for the Events and for everyone involved in the Events Industry and is organized by EXPORAMA CrossMedia, a division of OSTRAKO Type & Web Communication SA., 8 Herakleous Street, Athens.
2. Aim of ExporamaShow is to bring all Events suppliers into direct contact with a vast number of dynamic prospect customers. This is why the organizers of ExporamaShow have established a comprehensive VIP & Hosted Visitors programme.
 
 
APPLICATION - REGISTRATION
 
3. Everyone representing a Greek or foreign company, which participates in Exhibitions or Conferences, organizes Exhibitions, Conferences, Corporate Events or other types of events, and are responsible for or have the authority to influence or make the final purchasing decisions on behalf of their company are eligible for the programme.
4. Applying for the programme does not automatically ensure attendance at the Exhibition as a VIP & Hosted Visitor. Each case is examined individually and you will be notified if your application is successful. If you come from a country outside Greece you will be asked to send us your passport and credit card details (to be used in case of late cancellation of your participation in ExporamaShow - see below, paragraph 9), so that we can make arrangements for your flights and send you your tickets.
 
 
ATTENDANCE - BENEFITS - OBLIGATIONS
 
5. Upon approval of your application to attend ExporamaShow as a VIP & Hosted Visitor, you are automatically entitled to the following:
    - Complimentary economy class, return air tickets from selected airports.
    (For countries of origin outside Greece).
    - Accommodation in a 4/5* hotel (1-3 nights with breakfast depending on the country
    of departure and the flight schedule. For countries of origin outside Greece).
    - Transfers between airport-hotel-exhibition centre.
    - Personal on-line diary of the pre-scheduled appointments with the exhibitors.
    - Admission to the presentations and the scheduled concurrent events.
    - Access to the VIP Lounge with complimentary meal, refreshments, beverages etc.
    - Access to the Business Center for special meetings with exhibitors and other
    VIP & Hosted Visitors.
    - Display of your company's logo on your badge.
    - Complimentary services at the exhibition centre (secretarial support, interpretation,     internet access etc).
    - Display of the company you represent in the VIP & Hosted Visitors catalogue.
ExporamaShow is responsible for providing exclusively the benefits listed above. Any additional expenses, e.g. extras at the hotel, private transfers, additional nights' accommodation, transfer and accommodation of accompanying persons etc., are the responsibility of each visitor.
6. ExporamaShow will only accept one application per participant. Applicants must complete as many fields in the form as possible to facilitate the qualification process.
7. The organizers of ExporamaShow are responsible for coordinating your participation as a VIP & Hosted Visitor including transfers, accommodation and appointment setting. VIP & Hosted Visitors are requested to direct any queries to the organizers and make sure they are punctual in their flight and scheduled transfers times. Otherwise, any additional expense incurred is at their own expense. 8. Participants in the VIP & Hosted Visitors programme commit to partake in 10 appointments with exhibitors that have been pre-scheduled by the organizers and at least in 10 more meetings with exhibitors of their own preference. From October 1st they will be able to monitor their on-line diary of their pre-scheduled appointments.

CANCELLATION
 
9. All participants in the VIP & Hosted Visitors programme, who come from a country outside Greece and need to cancel for any reason their participation in the exhibition, must notify the organizers before November 10 2008, sending an email to office@exporamashow.gr. In such a case their cancellation does not incur a fee.
If the cancellation notification is received after November 11 2008, a 500 Euro fee will be incurred that will cover part of your transportation, accommodation and stay expenses in Athens. These charges will be debited from your credit card.
Equal charges will be incurred in case you do not attend ExporamaShow or if you do not make the required number of pre-scheduled appointments with exhibitors.
All cancellation charges are inclusive of VAT and will be debited to OSTRAKO SA in December 2008 - January 2009, along with any unpaid hotel bills, from the credit card details you have provided. Therefore, your credit card should be valid until January 2009
10. Your participation right in ExporamaShow as a VIP & Hosted Visitor and the respective invitation are non-transferable. If, for any reason, you wish to recommend another person from your company as a substitute you can do so οn condition that this is accepted by the organizers of ExporamaShow.
 
 
GENERAL
 
11. Participants at the VIP & Hosted Visitors programme who come from certain countries may require a Visa to enter Greece. We advise such visitors to ask us for an invitation letter and contact the Greek consulate in their home country.
12. By agreeing to these terms and conditions, the VIP & Hosted Visitors are consenting to the organizers of ExporamaShow sending information emails with the event news, disclosing their details to partners of the exhibition (e.g. airline companies, hotels, exhibitors) as well as displaying them in the VIP & Hosted Visitors catalogue.
